Privacy Policy

Pracademia: The Directory ("the App", "the Service") is published by the Canadian Centre for Brief Coaching Inc. ("CCBC", "we", "us", "our"), a corporation registered in Ontario, Canada. This Privacy Policy explains what information we collect, why we collect it, how we use it, who we share it with, and your rights as a user — wherever you are in the world.

By using Pracademia: The Directory, you agree to the practices described in this policy.

1. Who This Policy Applies To

This policy applies to two groups of users:

Clients — people who browse the directory to find a practitioner.

Practitioners — coaches, counsellors, consultants, supervisors, and educators who create a listing in the directory.

2. Information We Collect

2a. Information You Provide Directly

Practitioners only: When you create an account and build your profile, you provide your full name and professional credentials, email address and password, city and country of practice, professional biography and practice description, practitioner type, orientations, and focus areas, session format, availability, fee, and booking URL, and an optional profile photo and languages spoken.

All users: If you submit a written endorsement of a practitioner, the text of that endorsement is stored in our database and displayed publicly on that practitioner's profile. If you submit a concern about a practitioner, the content of that report is stored securely and reviewed by our team.

2b. Information Collected Automatically

When you use the App or visit the website, we may automatically receive your device type and operating system version, app version, general location (country or region — not precise GPS), and session timestamps and basic usage data. We use this data only to maintain and improve the Service. We do not use it for advertising or sell it to third parties.

2c. Information Stored Locally on Your Device

Your saved shortlist of practitioners and your onboarding completion status are stored only on your device using local storage. This data is never transmitted to our servers. To delete it, clear the app's local storage or uninstall the app.

2d. Health Information

Pracademia: The Directory is a practitioner directory — it does not collect, process, or store health information about users. We do not ask clients about their health history, diagnoses, or conditions. Practitioners may describe their focus areas as part of their professional profile, but this does not constitute health data about any user. If you choose to contact a practitioner through an external booking link, that interaction is governed by the practitioner's own privacy practices, not this policy.

3. How We Use Your Information

We use the information we collect to create and maintain your practitioner account and profile, display your profile in the directory, enable clients to save practitioners to a shortlist, allow users to submit endorsements and reports, send transactional emails such as account confirmation and password resets, maintain the security and integrity of the Service, improve the App based on general usage patterns, and comply with legal obligations.

We do not use your information for targeted advertising, sale or transfer to third parties for marketing purposes, or automated decision-making or profiling that produces legal effects.

4. Legal Basis for Processing (EU/EEA/UK Users)

If you are located in the European Union, European Economic Area, or United Kingdom, we process your personal data under the following legal bases as defined in the General Data Protection Regulation (GDPR):

Contract — creating and managing your account, displaying your practitioner profile, and sending transactional emails are necessary to provide the Service you signed up for.

Legitimate interests — improving the Service and processing endorsements and reports to maintain community accountability.

Legal obligation — complying with applicable laws and regulations. You may withdraw consent or object to processing based on legitimate interests at any time by contacting us.

5. Sharing Your Information

We do not sell your personal information. We share information only in the following circumstances:

Service providers: We use Supabase for database and authentication infrastructure, Expo/EAS for app build and distribution, Vercel for web hosting, and Resend for transactional email. All service providers are bound by contractual obligations to protect your data and use it only as directed by us.

Legal requirements: We may disclose your information if required by law, court order, or government authority, or to protect the rights, property, or safety of CCBC, our users, or the public.

Business transfers: If CCBC is acquired or its assets transferred, your information may be transferred as part of that transaction. We will notify you before any such transfer and give you the opportunity to request deletion of your data.

6. International Data Transfers

CCBC is based in Canada, which the European Commission has recognised as providing an adequate level of data protection. Some of our service providers process data in the United States. Where data is transferred to countries outside the EEA, we rely on appropriate safeguards such as Standard Contractual Clauses (SCCs) or adequacy decisions.

7. Data Retention

Practitioner account and profile — retained until you request deletion or your listing is removed.

Endorsements — retained until the practitioner's profile is deleted.

Reports — retained for up to 3 years for accountability purposes.

Transactional email logs — retained for 90 days.

When you delete your account, we will remove your personal information from our active systems within 30 days. Some data may remain in encrypted backups for up to 90 days before being purged.

8. Your Rights

All users have the right to access the personal information we hold about you, correct inaccurate or incomplete information, delete your account and associated data, object to processing based on legitimate interests, and withdraw any consent you have given at any time.

EU/EEA/UK users (GDPR) additionally have the right to data portability (receiving your data in a machine-readable format), restriction of processing in certain circumstances, and the right to lodge a complaint with your national data protection authority.

Canadian users (PIPEDA) have the right to access and correct their personal information under the Personal Information Protection and Electronic Documents Act.

9. Children's Privacy

Pracademia: The Directory is not directed at children under the age of 13 (or under 16 in the EU/EEA). We do not knowingly collect personal information from children under these ages. If you believe a child has provided us with personal information, please contact us immediately and we will delete it.

10. Security

We take reasonable and appropriate technical and organisational measures to protect your personal information. All data in transit is encrypted using TLS (HTTPS). Passwords are hashed and never stored in plain text. Access to our database is restricted to authorised personnel, and we use Supabase's Row Level Security (RLS) to enforce data access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

11. Third-Party Links

Practitioner profiles may include links to external booking pages or websites. These external sites are not operated by us, and we are not responsible for their privacy practices. We encourage you to review the privacy policy of any external site you visit.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this document. For material changes, we will notify practitioners by email. Continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
